Bank Millennium signs remote contracts with employees using the Autenti platform

For Bank Millennium, the impulse to start cooperation with Autenti was the need to adapt HR processes to remote and hybrid work. This fact accelerated the bank's decision to introduce digital handling of HR documents, including electronic signatures. The new process has eliminated printing, signing, scanning contracts and long waiting for the originals.
The process of signing HR documents at the bank was often associated with the need to travel and hold meetings, especially when extending contracts or annexing them. An additional difficulty in logistics was the fact that contracts should be submitted for signature by directors, who usually have tight calendars and very limited time resources. Thanks to the new solution, they can meet with employees on Teams, anywhere, anytime. Documents are added to the platform - contracts are concluded on an ongoing basis, electronically and on the same day, and the electronically signed original is available immediately.
- Thanks to the Autenti platform, employees have the opportunity to sign documents remotely. This applies primarily to personnel documents – preliminary contracts, employment contracts, annexes, training contracts, fuel card contracts and decisions regarding the social fund. Signing documents takes only a few minutes, which significantly shortens HR processes. At the same time, it optimizes our involvement and minimizes the risk that the recipient will not receive the document on time or at the address indicated. In addition, we economise on eliminating from the costs courier shipments that were used to deliver documents. Not without significance is also the environmental aspect, i.e. there is no need to print paper documents, store them and archive them – says Monika Ruraż-Lipińska, head of the Human Resources Team at Bank Millennium, about the new facility.
Extremely important is also the security and authenticity of documents signed remotely. Securing the authenticity and integrity of the content of the document is a fundamental advantage of the new platform. Processing and signing takes place in a strictly defined way. Only persons authorised to do so shall have access to the documents. In the process of signing and uploading a document, no one can change its content, so the signed document always matches the original. The validation certificate, in turn, is a detailed report issued by Autenti in PDF format with information about the result of the verification of signatures and electronic seals, which can be downloaded after the process has been completed - adds Monika Ruraż-Lipińska.
What specific solutions has the bank decided to use? Anna Krasuska, Head of Sales at Autenti, explains: - In the process of signing contracts, the bank uses the Autenti platform that allows signing employment contracts and other documents by bank representatives using a qualified signature and e-signature by employees. Thanks to this solution, the time of signing a contract is significantly shortened, and the time saved translates directly into an increase in the efficiency of HR processes.
